- Job Title: Submissions Manager Department: Submissions
- Reporting to: Proposals Manager
- Subordinates: Submissions Coordinator
- Job Summary:
- Team manager responsible for day-to-day management of the submissions team. Responsible for the delivery of all prequalification and tender documentation and distribution of workload across the team. Developing the quality of proposals and ensuring the company continues to produce cutting edge proposals
- Location:

- Supervisory responsibilities:
- Distribution and management of workload to submissions coordinators
- Day-to-day managment of submissions coordinators
- Main Responsibilities:
- Manage submission of prequalification & tender documents
- Distribute workload across team
- Produce prequalification and tender documents
- Research answers to prequalification questionnaires
- Write and draft prequalification answers with or without input from technical team
- Liaise with planning and management teams to coordinate information and prepare tender documents.
- Proofread submissions and ensure quality is maintained across the team
- Coordinate and produce presentation boards, materials and handouts for project Interviews
- Provide copy and graphics for tender submissions and presentations.
- Manage company submission templates.
- Report on the progress and standing of submissions to the Proposals Manager.
- Produce and update Company Profile Documents.
- Regularly review and update standard submission materials.
- Assist marketing to create PowerPoint presentations, update Company website, create promotional material for Company Events and create Company newsletters.
- Arrange and monitor photography of current projects at regular intervals.
- Arrange and monitor photography of completed projects.
- To carry out any other reasonable request within the scope of your ability.
- Software Packages Used:
- Adobe Creative Suite - Indesign, Illustrator, Photoshop
- Microsoft Office – Word, Excel, Powerpoint
- PERSON SPECIFICATION
- Area Requirement
- Experience:
- Experience of preparing high quality bid submissions using Adobe Creative Suite.
- Experience in designing appropriate covers and graphics.
- Experience in proof reading and copyrighting
- Experience in managing a submisisons team
- Specific aptitude/skill required
- Excellent communications skills
- Excellent written English and proof reading skills
- Good eye for design
- Accuracy
- Good attention to detail
- Organised and efficient
- Able to work under pressure and to tight deadlines
- Work as part of a team with constant dialogue between staff
- Ability to use own initiative and take on responsibility
- Excellent time management
- Good upward management skills
- Able to come up with ideas and concepts for submissions and sell them internally
- Able to work with project teams in remote locations and in different parts of the company to get the information required
