  1. Proposed changes to recital schedule and handeling.

  3. Please lead this thuroughly, if at the end you have questions regarding layout, formulation or explenations do message me for further explenation.

  5. Current issues:

  7. 1. the recital manager in charge of managing is required to make the sign up / announcement post since the person posting will recieve near all private messages regarding time scheduling, questions or misc. issues members run into.

  9. 2. recitals are held too frequently. The hype surrounding a recital is notably lower than prior our 3 monthly schedule, the amount of sign ups, especially for the 8pm CET / bi weekly recital, is lowering over time.

  11. 3. Questions regarding recitals are sent in private messages to, usually, a single recital manager or moderator. Even if the question at hand can be answered by reading the announcement carefully or by any regular member.

  13. 4. Some members have complained about subideal times for them for both CET and Asian recitals.

  15. 5. were unsure who hosts and streams which recitals until very shortly prior, leading to late announcements and fewer sign ups.

  17. The following issues are tackled by the following proposed changes:

  26. Proposed changes to tackle the listed issues:

  28. 1. Change the announcement to be posted by Dyno or Pinano bot.

  30. This has a few reasons:
  31. Dyno and Pinano bot won't be messaged in private messages since people realise they're bot's. Questions will therefor flow into #general with either a tag to recital managers, moderators or without to be answered by whoever reads ir first / regulars.

  33. 2. (Option 1) Change the frequency of the recitals to a global bi weekly schedule.
  34.  
  35. By changing it to globally bi weekly we will still have roughly two 8pm CET recitals a month, however more spread out due to always having a week inbetween them. Once every 2 months we could swap the time to the asian timezone.

  37. 2. (Option 2) Change the frequency of recitals and times of recitals to biweekly and rotating 9 hour alternations.

  39. Using the same logic of having a rest week inbetween recitals to make it more special, however also changing the times to permanentally alternate on a 9 hour cycle. This allows everyone to be able to join a recital at some point inside a cycle.
  40. Example of cycle:
  41. Recital number : time hosted
  42. 1 : 0am
  43. 2 : 9am
  44. 3: 6pm
  45. 4: 3am
  46. 5: 12(am/pm? Middle of day)
  47. 6: 9pm
  48. Etc..

  50. 3. Use Pinano's google sheets to actively update and maintain the application forms, the recital programs, scheduling

  52. Currently were using the account to generate application forms and to keep track of applicants and their filled in content. We also have a schedule in sheets however this one is underused, outdated, and using the 3 monthly schedule. This should be fixed and actively maintained/ kept up to date. By using this more actively we could get more certainty over who is managing and streaming weeks in advance. Lastly using the account to real time update the program allows any recital manager to make changes to the program if theyre approached by a member with a last minute alteration request. Before this is brought up, we could have notes at certain people reasoning their place on the program if they have special reason to be far up or far down so they wont be moved by another manager.

  56. By agreeing and putting down who hosts a recital atleast a month in advance we will have less questions and uncertainty if we can/who will host recitals. Using change 3 we can easier keep track of this.
