  1. Assessment Task: 1
  2. How WHHS uses an information system to manage shared information.
  3. There are five parts that information system is made of.
  4. 1. Hardware:
  5. Western Heights High School uses Windows computers for Digital Technology classes and library to access internet for a research, create data, etc. for reason of Windows computers are easy to use and learn, and easily upgradeable at a cheaper cost. However, in Art and Music block has Mac Computers which are developed for higher quality programme to create music device and art project. There is at least one projector in every room in the school. These hardware are capable and very useful to handle people’s work as the school has a wireless local area network comprising computers and printers, if inappropriate webpage is shown up on a screen it automatically blocks the page so as to show correct information on the net. I believe the school should have an emergency generator to allow students and teachers to continue their work even in the situation like suddenly power runs out.
  6. 2. Software:
  7. WHHS uses software of Microsoft and Mac OSX (on the Apple computers). The students find Microsoft easier to use, as this is this the most common household operation system However Apple provides a superior experience for the Music and Art students which are used to create and edit their works. Most of students use Microsoft Office 2010 (Word, Excel, etc.) to create and edit their data and documents, without this software it would not be possible to complete school work effectively. It is vital that these applications can enable the school’s business to expand and evolve by replacing with their own programme running inside the application. With custom built software people must be sure that have been developed and tested carefully. 2008 Window Server is used for the network server.
  8. 3. Data:
  9. Data of Western Heights is assumed very large as it relates to data of every students and staff in school. It is very important that data is entered correctly so that other customer can rely on the information. WHHS has a good internal process called Kamar for checking the quality and managing the quantity of the data to make sure the system function well.
  10. 4. Procedures:
  11. Western Heights High School has
  12. 5. People:
  13. Western Height High School has over 120 staff and 1,600 students. There must be students and staff for this business to function and be successful. Therefore they are important as any other pieces in our school. Most of the students in WHHS uses the information system to check their results or create an essay, for this only little bit of skills are required to create and access into their data.

  15. - interact in your case study's information system
  16.
  17.
  18. Assessment Task: 2
  19. Explain file management consideration related to shared information at your case study company.
  20.
  21. J drive, H drive
  22.
  23.
  24. Assessment Task: 3
  25.
  26. How Western Heights High School’s information system input, storage, retrieval and manipulation are taking place.
  27. 1. Input:
  28. Enter the data. Personal Information, Results, Timetable, Fees, Attendance, Health, Pastoral.
  29. Webserver: Connected to Kamar school database via a portal.
  30. 2. Storage:
  31. Data Server (WHHS data) All school data H, J, T etc. drives use this server
  32. Main active Directory (DNS) Computer Administration staff control this server
  33. Backup domain (DNS) Back up of Main active directory (shares the work load)
  34. Web Server Looks after the Kamar Portal and Moodle
  35. Watchdog Server Proxy Server – Blocks websites
  36. Kamar Server Backed up every hour during school hours and then everyday only backs up any altered data.
  37. NAS Box Server Main Backup server 8Tbytes in size. Backs up every 2 days
  38. NOD Server Anti-virus - Symantec
  39.
  40. 3. Manipulation:
  41. Use the data. NCEA Summary, Academic reports, Financial Accounts report, Timetables, Class rolls, Payslip
  42.
  43. 4. Retrieval:
  44. Create from the data, year level results summary, attendance report, queried results report, class list, and school statistical information
  45.
  46. Assessment Task: 4
  47. Describe ethical and legal issue related to shared information within your case study company, and the related procedures and conventions for privacy and permissions. Your answers should include, but may not be limited to, a description of the following issues - copyright, digital ownership, privacy and accuracy
  48.
  49. The Western Heights High school’s devices and digital technology equipment must comply with the Copyright Act 1994 NZ and any licensing agreements connected to original work. The Digital Media Outcome must work within the laws of logical property, and make sure the website is not containing any morally or ethically offending material.
  50.
  51. Legal considerations refer to the duties websites must abide by. For example, the New Zealand copyright Act 1999 legislation is a set of exclusive property right to protect owners and creators of digital media. For this reason, WHHS had to make sure that any using data are not copyrighted. The school must gain permission from the owner and write the address and source where it is originally from if they do use copyrighted materials.
  52. Ethics deals with the standards of human conduct that direct the behaviour of individuals and groups. These standards is in turn are developed by the society within which the individual or group exists. In relation to our school, the standards developed are by the society of digital media outcome users such as students, parents and teachers. Ethical considerations are rather based on individual’s decisions and personal acceptance levels. This is all the more reason for the school to have high ethical standards so that every digital media outcome is accepted by the majority of individual users.
  53.
  54. Assessment Task: 5
  55. Describe the backup procedures and conventions for information systems within your case study company
  56.
  57. WHHS uses the data because they have value. These educational data can be lost by all sorts of things such as Hard disk subsystem failure, power failure, viruses, theft, hackers, or even a slight accidental and modification of data. Therefore backups are necessary to minimize the risk of losing them. Our school technicians are responsible for the backup and recovery plan, during the night after school is probably the best time to schedule backups when nobody is around on the net.
  58. WHHS uses the operating system called “Windows server 2008 release 1”. Network that is attached to the storage is dedicated to backup storage. Every Monday, Wednesday and Friday the school backup modified files to mirror drive from NAS Box Server (The main Backup server is 8Tbytes in size). End of every week all three incremental are backed up onto the second mirror drive and the school always has sufficient server capacity of 8Tb.
  59. The school’s main database Kamar has high value information and always frequently updated (roll results, grades, etc.), these can be seen in backup routine, hourly, daily, and weekly –which basically means always-. The school has 12 different Networked shared Drives, and 11 have restricted access at some level. Some of the large departments like Mathematics have an allocated drive for their material. The other one drive is the public J:/ Drive which has been set as ‘read only’ for students and ‘read and write’ for teachers. Through this students can access to a large amount of data and information that are provided by teachers. And lastly H:/ Drive is able to be accessed by students and staff members which is a shared drive and has password protected rights on individual folders so every members in school can use it as their own personal drive. Currently there are about 1600 to 1800 ID’s using the drive and they are all secure (not private) storage.
  60. Passwords are generated by Kamar database when student is enrolled and updates overnight. Server updates software to all machines as they log on.
  61.
  62. I believe WHHS backup procedures can be improved by using an internet backup service.
