  1. Callback Workload Capacity Worksheet
  2.
  3. Purpose
  4. Estimate the staff time required to return missed calls before setting a response-time SLA. This worksheet uses synthetic example values only and does not collect, transmit, or persist data.
  5.
  6. Synthetic example
  7. - Missed calls per day: 18
  8. - Average callback length: 7 minutes
  9. - Working days per week: 5
  10. - Available callback capacity: 2.5 staff-hours per day
  11.
  12. Calculation
  13. 1. Daily callback hours = missed calls × callback minutes ÷ 60
  14. 2. Example: 18 × 7 ÷ 60 = 2.1 hours per day
  15. 3. Weekly callback hours = 2.1 × 5 = 10.5 hours
  16. 4. Daily capacity margin = 2.5 − 2.1 = 0.4 hours
  17.
  18. Interpretation
  19. The synthetic workload fits the example capacity, but the margin is small. Re-run the worksheet with peak-day values, not only averages. If the margin becomes negative, add coverage, reduce handle time, or automate the intake step before promising a faster SLA.
