Dear all,

From the dialogue that we've had so far, it seems like we've gotten a rough idea of what's going to happen for this joint event.
I've summarised what has been discussed so far - keeping in mind that nothing has been set in stone yet, this will be a helpful springboard for further dialogue.

Who: JASS, EGG, Red Cross Society/UN society, Anime@UTS

What: A BBQ event, with secondary activities to be run in conjuncture
                     Ideas for secondary activities: A raffle draw (with prize baskets to be donated by respective clubs)
                                                                 Other foodstuffs on sale - yakisoba, cupcakes
                                                                 Art - public invited to paint/draw on large piece of paper, to be auctioned off at the end
                                                                 Charity consoles - people donate a gold coin to play on consoles (scrapped idea  as it would be unfeasible to police properly)
                                                                 Movie/screening room
                                                                 + and other ideas that could be feasible.

When: Within two to three weeks from today, i.e. 4th to 8th April, or the 11th to 15th April.
           Maybe a two day event (not necessarily consecutively)
                                                                 Morgan raised the point that it takes some time to source prizes

Where: To be held on the Concourse in Building 1

Why: To raise funds for charity in light of the recent earthquake in Japan, ideally to be donated to Red Cross organisation, as well as a friendly way to promote each other's club within and without our respective networks.
