  1. ## Peacekeeper Bot Privacy Policy
  2.
  3. **Effective Date:** January 16, 2026
  4. **Bot Name:** Peacekeeper (“Bot”)
  5. **Provided By:** Code99 INC (“we,” “us,” “our”)
  6. **Support Contact (Discord):** rcsgwayne (or use **`/help` → “Contact Developer”**)
  7.
  8. This Privacy Policy explains what information the Bot processes, why it is processed, and the choices available to server operators and end users.
  9.
  10. ---
  11.
  12. ### 1) Scope
  13.
  14. This Privacy Policy applies to information processed by the Bot when it is used in a Discord server (“Server”). It does not apply to Discord’s own processing of data. Discord’s policies apply to Discord’s services.
  15.
  16. ---
  17.
  18. ### 2) Information We Process
  19.
  20. Depending on configuration and use, the Bot may process the following categories of information:
  21.
  22. **A. Discord identifiers and configuration**
  23.
  24. * User IDs, Server (guild) IDs, channel IDs, message IDs, role IDs
  25. * Server configuration data (e.g., log channel IDs, ticket settings, onboarding settings, feature toggles)
  26.
  27. **B. Operational content**
  28.
  29. * Message content **only when needed** to provide a feature (for example: ticket transcripts, support messages within ticket channels, moderation triggers, command processing)
  30.
  31. **C. Ticketing data (if tickets are enabled)**
  32.
  33. * Ticket creator ID, ticket channel ID, ticket type, ticket number, timestamps (created/closed)
  34. * Closure metadata (e.g., who closed the ticket, close reason if provided)
  35. * Transcripts or logs generated from ticket channels (if enabled/configured)
  36.
  37. **D. Enforcement and safety data (if enabled)**
  38.
  39. * If enforcement is enabled, the Bot may process user identifiers in a privacy-preserving form (e.g., hashed/keyed identifiers) to evaluate whether automated safety actions should occur.
  40.
  41. **E. Support contact data**
  42.
  43. * If a user uses **`/help` → “Contact Developer”**, the Bot processes the submitted subject/message and the user’s ID in order to deliver the request to the Support Contact.
  44.
  45. ---
  46.
  47. ### 3) How We Use Information
  48.
  49. We use information to:
  50.
  51. * Provide and operate Bot features (onboarding, role menus, ticketing, logging, enforcement controls)
  52. * Maintain service reliability (debugging, monitoring, rate limiting, abuse prevention)
  53. * Respond to support requests and user/admin inquiries
  54. * Enforce these policies and protect the Bot from misuse
  55.
  56. ---
  57.
  58. ### 4) When Information Is Stored
  59.
  60. The Bot may store limited data necessary to function, including:
  61.
  62. * Server configuration (to remember setup choices)
  63. * Ticket metadata (to manage ticket state and numbering)
  64. * Logs/transcripts **only if** the Server Operator enables or retains them
  65. * Minimal operational logs for stability and abuse prevention
  66.
  67. ---
  68.
  69. ### 5) Data Retention
  70.
  71. Retention depends on Server configuration and operational requirements:
  72.
  73. * **Server configuration:** retained while the Bot remains installed in the Server, and deleted upon request or after removal where feasible.
  74. * **Operational logs:** may be retained for a limited period for debugging and abuse prevention.
  75. * **Tickets / transcripts:** retained according to Server Operator configuration and moderation practices (for example, posted into a ticket log channel that the Server manages).
  76.
  77. If you want a strict retention period, publish it here (recommended):
  78. **Retention Period:** [e.g., “Operational logs up to 30 days; ticket transcripts up to 90 days unless deleted sooner by Server staff.”]
  79.
  80. ---
  81.
  82. ### 6) How Information Is Shared
  83.
  84. We do **not** sell personal information.
  85.
  86. Information may be shared only as follows:
  87.
  88. **A. Within the Server (as configured by Server Operators)**
  89.
  90. * Posting logs to configured log channels
  91. * Creating ticket channels visible only to authorized roles and the ticket creator
  92. * Posting transcripts/log summaries to configured ticket log channels
  93.
  94. **B. With the Support Contact**
  95.
  96. * Messages submitted via **`/help` → “Contact Developer”** are forwarded to **rcsgwayne** to respond to the request.
  97.
  98. **C. Service providers**
  99.
  100. * The Bot may rely on infrastructure providers (hosting, databases, monitoring). They may process limited data strictly to provide their services to Code99 INC.
  101.
  102. **D. Legal and safety**
  103.
  104. * If required by law, legal process, or to protect users, our rights, or the public, we may disclose information as necessary.
  105.
  106. ---
  107.
  108. ### 7) User Choices and Controls
  109.
  110. **Server Operators control** how the Bot is configured in their Server, including:
  111.
  112. * Whether to enable ticketing and whether to retain transcripts/logs
  113. * Which channels receive logs
  114. * Whether enforcement features are enabled
  115.
  116. **End users** can:
  117.
  118. * Choose whether to submit information via ticket messages or via **Contact Developer**
  119. * Ask Server staff about server-side retention (e.g., whether transcripts are logged)
  120.
  121. ---
  122.
  123. ### 8) Data Deletion and Requests
  124.
  125. **Server Operators** may request deletion of their Server’s stored configuration and related data by contacting **rcsgwayne** on Discord or using **`/help` → “Contact Developer.”** We may require verification of admin rights.
  126.
  127. **End users** should generally request deletion through the Server Operator first, because much of the data (e.g., logs/transcripts) may be stored in Server-owned channels under the Server’s control.
  128.
  129. ---
  130.
  131. ### 9) Security
  132.
  133. We take reasonable measures to protect data processed by the Bot, including access controls and operational safeguards. However, no system is completely secure, and we cannot guarantee absolute security.
  134.
  135. ---
  136.
  137. ### 10) Children’s Privacy
  138.
  139. The Bot is not directed to children under 13 (or the minimum age required by local law). If you believe a child has provided personal information through the Bot, contact **rcsgwayne** or use **`/help` → “Contact Developer.”**
  140.
  141. ---
  142.
  143. ### 11) Changes to This Privacy Policy
  144.
  145. We may update this Privacy Policy from time to time. Updates become effective when posted with a new Effective Date. Continued use of the Bot after changes means you accept the updated policy.
  146.
  147. ---
  148.
  149. ### 12) Contact
  150.
  151. Questions or requests: contact **rcsgwayne** on Discord or use **`/help` → “Contact Developer.”**
  152.
