  1. Electronic mail has been around even before the internet existed. Emailing is the most effective and popular way to communicate with other people in this time. What people don’t know is email system we all know today actually evolved from just two computers sending a file to each other. The first advancement in email technology was in 1965. The Massachusetts Institute of Technology (MIT) created a mailbox program that was able to store messages in a single computer. This computer could be accessed by multiple users through terminals. Later in 70’s a man named Ray Tomlinson created an internet email system that would allow someone to send a message from one computer to another using an @ symbol. Email technology has advanced a lot over the years and now practically everyone has an email that is hosted free by third party services such as Google, Microsoft Outlook, or Yahoo. This is what makes it the most effective and convenient way of communicating with other people. Every website which requires an account to be made also requires an email for communication with its user. This almost forces you to have an email of your own to be able to do anything important on the internet. You will be learning how to effectively communicate with electronic mail. We will be reviewing how to create good subject lines as well as writing clear, correct, and direct body messages.

  3. Firstly, you want to make a good use of your E-Mail’s subject line. Refrain from using blank subjects as this may cause your email to not be read or marked as spam. Try to make your subject line grab the attention of the recipient. You will also want to shortly describe what the email is about, be as direct as possible. Let’s say you’re a teacher trying to communicate to a student through email about an upcoming essay about Biology that they need the prompt for. You would probably want to make the subject something along the line of: Biology Essay Prompt. But let’s say you also have a due date on that essay. You would want to use: Biology Essay Prompt - Due by May 26, 2016. The student will then be able to know that the email is about the essay prompt as well as the due date for the essay. Let’s say it’s the day that the essay is due and you need to remind them to turn in their essays. You could send a new email to all students with the subject line: Please turn in your Biology essays today! Students who receive the email don’t even have to open it to get the message. If you want you could include an, “EOM” (End of Message) at the end of the subject to let recipients know that this is the end of the message and they don’t have to open it.

  5. When writing the body of the email, make sure to keep the message you’re trying to portray clear and brief. You want to be direct with what you’re trying to say. Make sure to not include irrelevant information to the subject. Consider writing another email if you have multiple unrelated messages or topics for the recipient. This will make each message you’re trying to get across more clear and will help the recipient incase they need to refer back to a certain email topic. Be polite in your emails and always write in a very positive and friendly tone. Your emails will be much more pleasant to read for your recipient.

  7. Lastly you will want to make sure to proofread your email before sending it. You only have one chance to get it right since there is no edit option. Review your body to ensure you completely got your point across and didn’t leave out any helpful or important information. It’s important to take your time to make sure you have correct grammar and spelling so you will be taken seriously. Nowadays having correct grammar is very important on the internet because there are people who will point out your mistake and make you look like a joke. Especially with auto-correcting technology there is almost no excuse for grammar mistakes.

  9. Although email is the most effective and popular way of communicating, it also comes with some problems. When having and email mailbox you’re subjected to internet hackers and scammers. Now although third party email systems security are more effective at filtering out phishing and fraudulent emails, it does not protect against them all. People who fall for these email traps will have their personal information abused and exposed. Make sure to avoid giving out personal information through emails unless it’s absolutely necessary and is being sent to the correct person. Keep in mind that this does not only apply to emails, it also applies to anything on the internet, some examples being IM Services and Social Media. Email phishers and scammers get more and more convincing by the day so always be on the lookout for suspicious emails from unknown sources.

  11. Everyday technology around communicating is becoming more and more advance. Email systems are now allowed to communicate to phones using an email address which forwards an SMS to the recipient’s phone and vise versa. Google’s Gmail has added an Instant Messenger to allow you to quickly send a message to other Google account users for a faster way of communication. If communicating by email is not for you, there are other ways of communicating through the internet such as Instant Messenger programs or Social Media. Even social media has been combined with instant messengers and email address to offer many ways of communication. The downfalls of these ways of communication is the recipient may not have the software or an account required for these options. And that is why I believe email is the most effective way to communicate.
