- It is our understanding that the IACP would like to use DotNetNuke (DNN) to power the new Youth-Oriented Policing site. We propose to implement a separate installation of DNN in order to support the developed taxonomy and allow IACP staff to manage the site content.
- Matrix Group will provide the following services:
- ? Conduct a 1-hour interview with IACP and IT staff to determine requirements
- ? Create an analysis of CMS workflow needs (text entry, reviewing and editing, who has permission to publish to the site, how a newsfeed will function, etc.) while taking the site design into consideration
- ? Develop requirements for each document type. For example, proposed document types could include:
- o News Items
- o Facts and Figures
- o FAQs
- ? Build in a calendar module to manage events
- ? Implement the taxonomy (categorization list) that will allow IACP to categorize content by topic, geography, agency type and resource type
- ? Customize a separate implementation of DNN to support the final list of document types, taxonomy and publishing rules.
- ? Create the necessary document types and display/publishing options
- ? Implement the new site design within the CMS templates
- ? Link up CMS admin pages under a password protected admin directory
- ? Enable page rating, send to a friend, contact us form, and ShareThis on social bookmarking sites

- It's getting close! We've made the changes you requested to the donation form, thank you page, and confirmation email, with one exception: I was a little confused by your last message as to whether you wanted the signature on the thank you page, on the email, or on both. The former is very easy and will appear for everyone; the second is not hard either, but will likely require a little testing to get the right look in both text and HTML-compatible readers. Just let us know what you'd like us to do.
- I also realized that we haven't provided you a budget update lately, but wanted to take the opportunity to let you know how things are looking.
- The current breakdown is:
- Site build (Foundation as section in iacp.org): $1091.25
- Donation form: $4770.00
- This is a bit higher than we originally estimated; this is largely due to challenges we encountered in getting all of the right information from American Eagle, as well as some extra Webmaster time for restructuring the Foundation landing page.
- Please let us know if you have any questions about any of this, and how to proceed for the signature.

- My apologies for taking so long to get back to you; I was out of the office for most of the week and have been catching up today.
- Nguyen is working on the changes to the donation form, but we have a few questions about the thank-you email:
- 1. The current email returns information about the donation amount, address, payment method, etc. Are we eliminating this, or simply placing the new text above it? I can send a copy of the current email as a reference if it would help.
- 2. For your signature image: we can use XML to insert this image to be seen by people with HTML-email enabled. However, people who read their email as text will not see this (may get a blank space; we can text).
- 3. Re. forwarding to others: we could include a link to the donation page in the email, with the phrasing you suggested. Again, for people with plain-text email, the link might appear differently.
- 4. There is also a thank you page that donors are sent to following payment:

- Thanks for your call this morning!
- I checked on the project, and it looks like the Foundation work currently stands at about 15 hours, or a bit under $1700 (I can break it out into more precise line items for you if you'd like). We still need to (1) finish some testing on the donation form, and (2) Adrian will need some time to put the Foundation landing page in place and move the others under "About Us" into place when you're ready for that piece, so I would suggest adding probably another 3-5 hours if you're looking for a total.

- Adrian has finished setting up the pages on the IACP site based on the hierarchy Petey sent, so they're ready for you to start entering content!
- A few important things to note:
- (1) These pages are on the live site. They are not accessible (i.e., nothing links to them as yet, since the Foundation tab still forwards to the old site) and are only visible to users with admin access, but because of the DNN setup, we had to establish them on the live rather than the development server. We just thought you should know that. :)
- (2) You can start entering content now for any of the pages *except* for the Foundation landing page, as that tab is currently redirecting to the old site. However, once we have the new URL redirector in place, we should be able to free up the landing page without making it visible.
- (3) You might be wondering how to access the pages if you can't click on them ... you can start here (or with any of the other URLs underneath that you want to grab while you're in there) and navigate through:
- http://www.theiacp.org/Foundation/AboutUs/tabid/521/Default.aspx

- I sketched out a rough timeline for the project. It allows for 2 weeks of content entry/migration, and 2 weeks of testing and revisions. There are many factors and dependencies, but it shows a rough launch date around December 5. **This is a rough date. We do not recommend sharing this date at this time.**

- Matrix Group will assist with a portion of the implementation of the content, working with IACP to build out the full site. Because the content is still being researched and developed, we propose creating model content, and training IACP staff for the full site buildout. Our role will include:
- ? Creation of the directory structure
- ? Setting up the templates and master style sheet
- ? Migrating new content to the new site structure and CMS
- ? Establishing guidelines for multimedia content to be uploaded as part of the conference
- ? Applying the new design templates to all static and dynamic content
- ? Running a link check report to ensure all links on the new site are valid
- ? Validate ADA/508 standards for content accessibility
- ? Ensuring that all pages have proper title (essential to good ranking in search engines)
- ? Training IACP staff on using the CMS to add and edit new site content through two training sessions.
- ? Adding Google Analytics tracking code to the site templates
- Price: We recommend a budget of $5,000 for up to 50 site pages.
- H. Resource Library
- IACP will be developing model content and resources for law enforcement agencies to employ in creating and managing their youth-oriented programs. We envision these resources to be categorized and defined during the development of the site’s taxonomy and navigation.
- As part of the content management system setup, we will also program the system to be flexible in order to accommodate multimedia files such as PDFs, PowerPoints, podcasts etc.
- IACP staff will be able to use the CMS to add in resources as they are developed. A public form for site visitors to submit resources for review is addressed in the Additional Options section of this proposal.
- Price: Included in the Site Build above

- Matrix Group proposes to host the new Youth Oriented Policing site on shared Web and database servers, similar to the hosting environment that the other IACP websites live on. We will provide the same level of managed hosting that covers: storage, bandwidth, 24/7 monitoring, security updates, redundant firewalls, nightly back-up, etc.

- ? Matrix Group is willing to provide one free month of hosting for the live site. Thereafter, the monthly charge for site hosting will be $400 per month.

- Thank you for the budget update. There are a few items I would like to address:
- 1. Web Design list a Flat Fee Price of $14,000 however, the Task Order lists $12,000 for up to 80 hours plus $4000 for the splicing so I believe this should be listed as a Flat Fee of $16,000.
- 2. Site build , Resource Library and Site Search are not yet done, however, we are already over the recommended $5000 budget for up to 50 pages that is listed in the Task Order. And very much over budget. I am confused to why this is so over budget with so much more to do. I definitely want a breakdown of the costs connected to the hours on the work performed compared to where we are and what more it will take in delivering the items.
- 3. The listserv/discussion board was not in the original task order so I think the $1500 fee for this may need to be added.
