  1. openbala> hey
  2. <openbala> sorry im late
  3. <openbala> usual suspects.
  4. <lokeshwaran> no issues dude ... i wonder where are the others
  5. <openbala> did anyone joined and left?
  6. <openbala> hi arulalan
  7. <lokeshwaran> arulalan was here first ... he should know
  8. <arulalan> lokeshwaran: no one came before me
  9. <arulalan> openbala: hi :)
  10. <openbala> so, let me read through the mail you sent about clarifications...
  11. <arulalan> openbala: fine
  12. <openbala> ok.. the question is about the work for volunteers
  13. <openbala> so, let me start with how a devcamp is organized and side by side tell where we'll need volunteers
  14. <openbala> when people enter the venue, they should know some basics about a devcamp style event.
  15. <openbala> more of a 'may-i-help-you' role..
  16. <openbala> mostly to - where are the session halls, how to connect to wifi, timing details, etc etc...
  17. <arulalan> openbala: so No.1: May - i - help - u ?
  18. <openbala> ya.. for that we need volunteers to come in early. so that they know the answers - like where is food counter, rest room, wifi, what is devcamp, what sessions are happening etc etc
  19. <openbala> ok... the other would be pulling people for sessions who are lost.
  20. <openbala> so for e.g. 3 parallel sessions might be going on.. but some people may just walk around aimlessly...
  21. <arulalan> No2: pulling-person
  22. <openbala> we can request them to attend a session or at least inform them that there is a session happening etc etc.
  23. <openbala> and 3rd one is active participation. we don't want to behave like we are 'police-ing' over others. we are just guiding them...
  24. <openbala> this might sound confusing, but we might have to be active in sessions. ask questions.
  25. <openbala> because
  26. <openbala> usually, in any sessions.. only if one person asks a question, others will ask. till that point, everyone will be very quiet
  27. <openbala> i want the session to be interactive, like a group discussion. we want to encourage people to speak....
  28. <openbala> so No3: engaging people to be more interactive in sessions
  29. <openbala> i want all the people who come to devcamp to talk to at least 50% of the attendees... if they won't do it, we'll talk to them voluntarily and engage them in a thoughtful conversation.
  30. <arulalan> good idea :no3
  31. <openbala> there are very interesting people who are coming to devcamp. people who have started their own companies, from yahoo, opera, thoughtworks, amazon.. talk to them, get some insight.. and by seeing a conversation going, more people will join and contribute
  32. <openbala> ok, that comes to point no.4..  that is. to control the chaos
  33. <openbala> one thing that im afraid is for the tshirt distribution.
  34. <openbala> I
  35. <openbala> I've seen it happening in other conferences such as 'SUN tech days'...
  36. <arulalan> why
  37. <openbala> if you announce that there is some thing given for free... there is almost total madness
  38. <arulalan> so how can we control this
  39. <openbala> and i don't want to give away the tshirts at the start itself, because people might immediately leave, and i don't want to give it at the end because, some people might want to leave a bit early..
  40. <openbala> so we need to distribute these freebies.. around 3 or so
  41. <openbala> 3 PM.. my thoughts
  42. <openbala> and we will need at least 4 different distribution counters, to control the crowd...
  43. <arulalan> fine
  44. <arulalan> so for distributing tshirt alone, we need 4 volunteers at the time of 3 pm
  45. <openbala> and somehow no person should stand in the line twice.. that will be a challenge... we don't mind giving 2 tshirts for one person, if it is not good to.. you know cheat and stuff.
  46. <arulalan> so 4 volunteers is not enough for this
  47. <arulalan> hmmmm
  48. <openbala> yeah... not just in the distribution site, but also asking people to stand in line and 'be patient' - if it comes to that stage..
  49. * magesh (~magesh@122.174.194.246) has joined #dcc1
  50. <openbala> you know, we might plan all we want, but if there is a low turnout for the event, we don't need such things...
  51. <arulalan> hmmm. ok
  52. <arulalan> magesh: welcome
  53. * magesh waves hi to everyone here
  54. <magesh> sorry guys, im late
  55. <openbala> but we must be prepared... there are few volunteers from thoughtworks office also to help you out.
  56. <openbala> hey magesh
  57. <arulalan> openbala: ya, without thoughtworks volunteers we cant do :-)
  58. * shrini (~shrinivas@nat2.maa.collab.net) has joined #dcc1
  59. <shrini> hello team
  60. <openbala> hi shrini.
  61. <arulalan> shrini: welcome
  62. <shrini> openbala: hai
  63. <openbala> shrini. im actually a bit surprised... it is unfortunate that both devcamp and ilug monthly meet had to happen on the same day..
  64. <shrini> openbala: yes
  65. <shrini> really unfortunate
  66. <openbala> nice to find you in IRC though..
  67. <magesh> openbala: yes we can't help with that
  68. <shrini> fine
  69. <shrini> let us have both
  70. <openbala> so should i copy paste what we've discussed so far? for convenience?
  71. <shrini> even I have a ubuntu user day session on the same day
  72. <arulalan> openbala: yes
  73. <openbala> oh...
  74. <magesh> openbala yes please
  75. <shrini> dont copy paste here
  76. <shrini> do it pastebin and give link
  77. <openbala> ok... so what shall i do..
  78. <openbala> alright
  79. <arulalan> openbala: can you paste in our devcamp blog?
  80. <magesh> arulalan u guys can put up the irc log on the devcamp blog/mailing list later
  81. <arulalan> openbala: so  only 4 kind of volunteers/works
  82. <openbala> here you go
  83. <openbala> http://pastie.org/1036074
  84. * magesh says hi to srini
  85. <magesh> will read it and come back
  86. <shrini> hai to magesh
  87. <arulalan> no 1: may-i-help-you?     no2:pulling-people      no3: active-person-to-make-interaction-during-discussions     no4: distributing-tshirts
  88. <arulalan> no2: pulling-people
  89. <openbala> so ya... treat is as your own event... this is not a company event...
  90. <openbala> devcamp is supposed to be a community driven initiative..
  91. <shrini> s
  92. <magesh> i can help with these, will try to come to the venue as early as possible
  93. <openbala> who knows, next year, ilugc or adobe users group or aws group may plan to organize devcamp.
  94. <openbala> in august, some people in bangalore are planning a devcamp in bangalore... on their own. just like that...
  95. <arulalan> openbala: :-)
  96. <shrini> good
  97. <shrini> for t shirt printing
  98. <shrini> sorry
  99. <openbala> so the point is... awareness. this is the first time it is happening in chennai. so obviously is new for everyone.
  100. <shrini> t shirt giving,
  101. <arulalan> openbala: how many volunteers  you are expecting ?
  102. <shrini> we should ask volunteers for registering while entering
  103. <shrini> on getting tshirt, they should sign and get it
  104. <shrini> t shirt should be given by one team in a single place
  105. <shrini> to avoid confusions
  106. <shrini> am i right?
  107. <openbala> yeah, thats a good idea, i think we should do that.. so that means, we have a new task for volunteer --> ask people to register :)
  108. <magesh> we can have some volunteers on the registration desk, where they take note of the attendee and distribute freebies (tshirt)
  109. <openbala> i wanted distributed, just to manage the crowd. but it is a valid point that we cannot manage the people trying to get 2 tshirts if we give it in multiple places
  110. <shrini> right
  111. <openbala> lokeshwaran: how many people signed up as volunteers from thoughtworks?
  112. <lokeshwaran> there are around 40 people ...
  113. <shrini> 40 is a BIG number
  114. <openbala> for volunteers???
  115. <shrini> great
  116. <arulalan> registration should have visitor name, mail-id, mobile(if we need),city, role: visitor/speaker/volunteer
  117. <lokeshwaran> ya
  118. <openbala> arulalan: we already have that info. if the registration is aimed only for tshirt distribution, then we might not want that much information. probably name, emailid will do, what say?
  119. <openbala> and instead of it being done on paper, we shall do it in computer!
  120. <openbala> faster and cleaner.
  121. <openbala> lokeshwaran: where are we on the stickers?
  122. <arulalan> openbala: ya,fine. computer is good idea
  123. <magesh> yes we can note it down on a spreadsheet
  124. <arulalan> magesh: +1
  125. <openbala> i keep asking lokesh some questions because im in pune right now. im coming on friday evening to chennai for devcamp.
  126. <openbala> so, the idea was to give stickers to attendees
  127. <arulalan> openbala: really great
  128. <shrini> after registrations are completed, take a print out of the list
  129. <magesh> yeah, we used to give stickers for barcamp attendees, where they write down their name or twitter id
  130. <shrini> while iving t shirt, get sign from the person
  131. <openbala> that they can stick to their shirts, saying "Hi, I am" and then their name will be written
  132. <openbala> ya, makes sense.
  133. <arulalan> openbala: so what are all the fields should have the registration spreadsheet : name, email-id.   These two things only know
  134. <shrini> get contact no too
  135. <shrini> new people also can come
  136. <openbala> name emailid is good enough... ok contact number.
  137. <shrini> without prior registration
  138. <openbala> having a sticker stuck to everyone's shirt displaying their name was to make them more approachable..
  139. <arulalan> shrini: yes, few of my friends are coming from kanchilug without prior registration
  140. <openbala> so srini are you coming?
  141. <arulalan> openbala: any ides about uni dress code for volunteers ?
  142. <lokeshwaran> we are yet to receive the stickers and other stationary items ... probably we'll get it tomorrow morning
  143. <openbala> no dude, no dress code. thats what i said, we don't want to look different from others. we are there for devcamp too. to learn. volunteering is an extra activity
  144. <arulalan> openbala: ok, fine
  145. <shrini> openbala: I will be there for the first half of the day
  146. <shrini> upto 2
  147. <magesh> +1 with openbala
  148. <lokeshwaran> @arulalan - as we are not going to give the tshirts in the morning itself, we volunteers can wear the tshirts to easily identify ourselves are volunteers
  149. <openbala> ok.. ya.. what lokeshwaran said kind of makes sense
  150. <shrini> yes
  151. <openbala> the volunteers will get the tshirts first and they can wear them
  152. <magesh> good idea
  153. <arulalan> lokeshwaran: nice
  154. <magesh> and guys we can exchange our phone numbers at the end of this meet, will be helpful on the day of devcamp.. maybe to coordinate with each other
  155. <arulalan> magesh: good idea
  156. <openbala> ya.
  157. <magesh> coz i've not seen you guys :)
  158. <arulalan> magesh: i too
  159. <shrini> :-)
  160. <shrini> I can come quick
  161. <shrini> shall I take the registration task?
  162. <arulalan> openbala: do you have plan to get feedback form/suggestions from visitors ?
  163. <openbala> cool, so shrini, magesh, arulalan.. i know you guys can take sessions as well.
  164. <shrini> sessions?
  165. <arulalan> sure
  166. <shrini> :-)
  167. <shrini> fine
  168. <openbala> ya.. you know, a 30 min thingy.. about your favourite topic.
  169. <lokeshwaran> for feedback/suggestions - probably we can have a small get together with the participants at the end of the day and hear it out
  170. <shrini> fine. will do a session
  171. * subramk (~subramk@180.151.49.130) has joined #dcc1
  172. <arulalan> subramk: welcome
  173. <magesh> will think of it.. *not sure though*
  174. <magesh> +1 with lokeshwaran
  175. <openbala> ya... whoever is interested, will stay back in the evening. and we can discuss about the devcamp itself. "what went well", "what went wrong"
  176. <openbala> this could be useful for future devcamps.
  177. <arulalan> openbala: i will be wait
  178. <magesh> yeah
  179. <openbala> subramk: welcome, so how did you manage to come 1 hr 10 min late ? :P
  180. <subramk> was in a meeting
  181. <arulalan> subramk: coool
  182. <openbala> anyways guys, shrini: about registrations - sure thing dude... just raise your hand on the day saying 'i'll handle this' - we'll be more than happy to let you do that :)
  183. <shrini> fine
  184. <shrini> let me do that
  185. <arulalan> shrini: ok
  186. <openbala> so thats all folks...
  187. <openbala> anything more to say?
  188. <openbala> subramk, i'll give you the chat log
  189. <openbala> and i shall post the chat log in google groups as well
